Getting paid, and knowing what it cost

Send the invoice, record the payment, know what the job cost.

Everything from finishing the job to knowing whether it was worth doing.

The work is done and the quote is finished. This part is the rest of it: the invoice, the money you actually collected, the receipts from the supply house, and the number at the end that tells you whether the job made you anything. Invoicing is on the Free plan. So are the tax receipts worksheet and the accountant export. Business reports, recording payments, job costs and receipt scanning are part of Pro.

Invoices: the invoice goes out before you are off the driveway

  • Turn an accepted quote into an invoice without retyping a single line.
  • The discount line, your payment terms and the totals sit on one screen, exact to the cent.
  • Every invoice shows its status, so you know what has happened to it without opening it.

Status, totals and terms on one screen.

Payments: record what you collected, the way you collected it

  • Cash, cheque, e-transfer or the card machine you already carry: write it down once and the balance updates itself.
  • Take a deposit first, then bill the rest in steps you set.
  • Give a refund or a credit note when a job goes wrong, and the record still shows every step.

Receipt Scanning: stop typing the supply-house receipt in by hand

  • Take a photo of the receipt and Zeus reads the numbers off it, instead of you typing at the counter.
  • The receipt goes onto the job, so the cost is saved with the work and not left in the glovebox.
  • The photo stays attached to it, which is the part your bookkeeper asks for later.

Photograph it once. The paper can live in the glovebox after that.

Money Hub: the work you finished and never billed, in one place

  • What is unpaid, what is overdue, what was paid this month and what deposits you hold, all on the first screen you open.
  • Recovery lists finished work that never became an invoice. That is money you lose without noticing.
  • Profit per job tells you which kind of work is worth taking again.

What is inside

Each of these is a real part of the app, with its own screens.

Invoices

Bill the work you finished, in the same app that recorded it.

An invoice screen with the lines of work, a discount line, your payment terms, the totals and the payments you have taken. You can give a refund or a credit note when something has to be put right. A whole group of quoted jobs can be billed at once, instead of opening each job one by one.

  • Invoice Editor
  • Batch Invoice
  • Credit Notes
  • Refunds
  • Status Chips
The invoices list on a phone, with overdue, due and paid totals across the top and every invoice underneath.

Payments

Record what you were actually paid, and the balance updates itself.

Record cash, e-transfer, cheque or the card machine you already use. The invoice balance updates from what you actually collected. Deposits you are holding and payment schedules sit in the same place. Each client keeps a payment history, so you know who is slow to pay before you quote them again.

  • Record a Payment
  • Payment Schedules
  • Deposits Held
  • Client Payment History
  • Payment Receipts
Recorded payments on a phone, each row a client, an invoice number, an amount and whether it was cash, cheque or e-transfer.

Job Costs & Company Expenses

What one job costs you, kept apart from what the business costs you.

What the job cost you and what it brought in, job by job. What it costs to run the business (insurance, fuel, the tool you replaced) is kept apart from job costs, because it does not belong to any one job. Take a photo of a receipt and Zeus reads the numbers off it, so you do not have to type them at the counter.

Reports & Accountant Export

The figures your accountant asks for, in a file they can open.

Revenue, Job Profit, Aged, Tax, Expenses and Inventory Movements, plus a sales-tax worksheet with the receipt photos attached to it. Hand it all over as a CSV file, a QuickBooks .IIF file, or a PDF pack.

Questions about Money In / Money Out

How does a payment get recorded?

You record what you collected, whether that is cash, cheque, e-transfer or the card machine you already use. The invoice balance updates from that.

What does my accountant get?

You export what your accountant needs (a CSV file, a QuickBooks .IIF file or a PDF pack) and hand it over.

Is invoicing on the Free plan?

Yes. Quoting and invoicing are on the Free plan. So are the tax receipts worksheet and the accountant export. Business reports, recording a payment, job costs and receipt scanning are Pro. Every new account starts with a free trial of the paid product, so you can bill real work before you decide. When the trial ends, support will sort your plan out with you.

Your next job is coming, with or without a record of it.

The Free Plan is not a trial. It never runs out. You do not have to talk to a salesperson.
