Lighting Preventative Maintenance Checklist
A preventative maintenance checklist for lighting systems covering visual and safety inspection, electrical connections, cleaning, bulb and ballast replacement, light-level evaluation, and record keeping.

Visual Inspection 2/2
A corroded fixture outdoors or in a damp location has almost always lost its gasket, and no number of fresh lamps stops the water getting in. Rust streaking down from a housing is water on its way back out, which means it has been sitting inside for a while.
Brown staining at a socket or lamp base is heat, and that heat comes from either the wrong lamp or a bad connection. When the flicker tracks a whole circuit instead of a single fixture, the cause sits in the supply or a shared neutral rather than in the lamps.
Safety Check 2/2
What matters is the thing the fixture is fastened to, not whether it feels solid to the hand. The one that eventually comes down is the heavy fixture hanging off the ceiling grid or the box's plaster ears instead of a rated support.
A two-second press only tells you the lamps light, and a cell that gives up after two minutes will sail through it, so the unit has to run on battery long enough to say something about the battery itself. The duration required depends on the occupancy, and the unit should carry the date it was last tested.
Electrical Components 3/3
Feel is not a torque setting, the value printed on the device is, and a joint carrying heat marks wants re-making rather than another turn of the screw. Where a connection has been arcing, the conductor is damaged too, not only the screw that let go.
In older fixtures the usual find is insulation gone hard and brittle close to the lamp holder, and it splits the moment anything moves it. The other place it goes is where conductors cross metal, because an unbushed hole wears through insulation slowly and then all at once.
Supports at the required intervals, and within the required distance of every box, are what keep the weight off a terminal. Above a suspended ceiling the cable needs supports of its own, and the grid wires are not there to carry it.
Cleaning and Maintenance 2/2
Every lamp can be working and the fixture still throw a third less light once it is dirty, which makes this the cheapest light anywhere on the site. Lamps want to be cold before they are handled, and water has no business near a fixture that is not sealed against it.
Acrylic that has yellowed or crazed will not come back with more scrubbing and wants replacing instead. With a cover off, the gasket is the thing worth a look, because dust inside a sealed fixture means the seal has already gone.
Bulb and Lamp Maintenance 4/4
Across a large site the labor of chasing single lamps outruns the cost of doing a whole area in one go, and the color overhead stays even as a bonus. What went in and when is the record that makes the next group change predictable.
Base, wattage, color temperature and beam angle all have to agree with what is already in the space, because a single 5000 K lamp in a row of 3000 K reads as a fault to everyone using the room. The maximum wattage marked on the fixture is a ceiling, not a suggestion.
A hum and a tarry weep both say the ballast is finished. Anything built before the late 1970s may hold PCBs, which turns an old leaking unit into a disposal question instead of something that goes in the bin on site.
New lamps fitted around a failing ballast are money spent twice, because the ballast will eat those as well. On an older fixture the ballast price is worth setting against an LED retrofit, which takes the ballast off the maintenance list for good.
Evaluate and Upgrade Lighting Levels 3/3
Readings belong at the working plane where the task really happens rather than down at the floor, and a spread of them across the area says more than one taken under a fixture. Without the daylight conditions noted alongside, the numbers cannot be set against the next visit.
The average is only half the story, since a bright pool sitting beside a dark one reads worse than a lower level spread evenly. Plenty of complaints come right through aim and shielding alone, without a single extra watt.
The labor of the lamp changes that stop happening belongs in the sum next to the energy, and on high or awkward fixtures it is usually the bigger half of it. A rebate from the local utility, worth establishing before the quote goes out, can shift the payback substantially.
Maintain Records 2/2
Dates on their own do not load the van, and lamp and ballast types written beside them are what stop the next visit being a survey. A fixture that shows up three visits in a row is a heat or wiring problem, and nothing but the record makes that visible.
The finding, the price and the consequence of leaving it are what hand the decision to the client instead of leaving it to memory. That same note is what stands behind you when something deferred fails later on.
Communication and Scheduling 3/3
It carries further in writing, with the safety matters kept apart from the improvements, because the two call for different answers at different speeds. A photograph of the fixture itself lands far harder than any description of it.
Who gets called after hours, and which areas can never be left dark, are questions settled far better in advance than in the middle of an outage. The plan is also where the spares worth holding on site for the fixtures that matter most get named.
Somewhere dusty or damp wants cleaning far more often than an office does, and lamp life follows hours of use rather than months on a calendar. That is why the interval belongs to the area rather than to the whole building at once.
